Cancellation Policy
Cancellation Policy
Multi-day Tours and/or Hotel Packages Cancellation Policy
Cancellations received 15 days or more prior to arrival date are subject to $100 per person administrative fees plus local tax. Cancellations received up to 14 days prior to arrival date will be charged 25% of tour fare per person. Cancellations received up to 7 days prior to arrival date will be charged 50% of the tour fare per person. Cancellations received up to 5 days prior to arrival date will be charged 70% of the tour fare per person and cancellations received 3 days prior to tour date or a no show on the arrival date are 100% non-refundable. Early hotel and tours check-outs are 100% non-refundable. Policy applies to accommodations packages, multi-day tours including and excluding accommodation.
Tours and Activities Cancellation Policy for Single Day Experiences
Cancellations received 3 days or more prior to tour date are subject to 10% administrative fees. Cancellation received up to 2 days prior to tour date are 100% non refundable. Cancellations on tour date or a no show for tour are 100% non-refundable. Early tours check-outs are 100% non-refundable. If a tour is cancelled due to unsafe adverse weather conditions, the tour will be rescheduled to next available safe day or full refund will be issued. If a tour has been cancelled due to insufficient number of participants tour will be rescheduled to next available date or tour credit or refund will be issued.
Private & Group Booking Policy
A non-refundable deposit of 30% is required to confirm group booking. Deposit will be applied to confirmed order. Full payment is due 35 days prior to arrival. Cancellations 30 days prior to tour date are 100% non-refundable. Amendments within 7 days prior to arrival may incur $10 plus local tax per person administrative fees. Administrative fees are charged on case-by-case basis.
Private Bus Charter Services Policy
1. Charter vehicle/bus client is responsible for driver overnight accommodation and meals.
2. Quotation is based on 10 hours driving time. Driver is not allowed to drive past 12 hours within a day. Anytime over will be billed to client.
3. Cancellation made 30 plus days before trip day are 100% refundable. Cancellation 21 - 29 days before trip day are charged 25% of trip rate. Cancellation 16 - 20 days are charged 50% of trip rate. Cancellation 0 - 15 days are charged 100% of tour trip and non refundable.
4. Client will be billed any toll gate fees and over weight scale associated with trip.
5. Service is confirmed upon receiving full payment of the trip.
6. Any Services, vehicle/driver time provided beyond time quotation will be charged on top of original quotation based on hourly rate used on quotation plus applicable taxes and fees.
7. Arctic Tours Canada is not responsible for traffic delays caused by construction, weather or any traffic delays that is beyond Arctic Tours Canada control. Arctic Tours Canada reserves the right to bill extra time taken by driver and vehicle beyond agreed schedule.
Child Policy

Child rate applies to children under 12 years of age. All children must be accompanied by tour participating parent or guardian of 18 years of age or older. Arctic Tours Canada reserves the right to refuse unaccompanied child or children that are jeopardizing safety of other participants on tour.

Yellowknife experience challenging weather conditions in some winter months that leads sometimes to delays in hotel pick ups for tours and activities. In the event that hotel pick up is delayed by more than one hour a tour voucher will be issued if the tour wasn't executed fully. Tour voucher's are issued on case by case basis. Tours operated by third party are not included for voucher credit. Voucher credits only apply to tours fully operated by Arctic Tours Canada.

I) The participant acknowledges and gives consent for Arctic Tours Canada by itself or through an agent to take photographs, audio or video recordings, or other forms of recordings that capture the tour/activity participant(s) image, likeness, voice, performance or all of these (“Images”) during the course of activity / tour. The participant acknowledges and gives consent for Arctic Tours Canada to receive and use Images of the passenger from other.
II) Arctic Tours Canada may use Images for marketing and promoting its services. The ways in which the Images will be used for marketing purposes include, but are not limited to, incorporating the Images in print, broadcast, internet media, direct marketing channels, downloadable content and applications, and all other media, platform or technology now known or to be developed for distribution around the world. The Images may be altered, modified, changed, combined or incorporated into other works.
III) The participant has a right to request access to the passenger’s Images and to correction of those Images to ensure they are complete and not misleading. However, the participant acknowledges that if the Images have been incorporated into marketing materials, it may not be reasonably practicable for Arctic Tours Canada to make any changes to the Images. The participant authorizes Arctic Tours Canada to refuse the request to correction in such circumstances.
IV) All tour images and videos taken by Arctic Tours Canada staff will have Arctic Tours Canada watermark for customer and Arctic Tours Canada privacy protection in the event that client images or videos get used on unapproved websites or any digital or prints. Arctic Tours Canada will have exclusive legal rights to pursue legal action. To require images or videos without watermark please contact our reservations team for exclusive rights pricing. Client who purchase image or video exclusive rights are responsible to pursue legal rights for images or videos used without Arctic Tours Canada watermark. Cost for images exclusive rights cost $75 per image and videos exclusive rights cost $100 per two minutes video plus local taxes.

Arctic Tours Canada does not sell or rent your personal identification to third parties. We release personal information only when we believe release is appropriate to comply with law; enforce or apply our terms and conditions; or protect the rights, property, or safety of Arctic Tours Canada, our guest, partners or others.
Personal Information Collected
Arctic Tours Canada only collects personal information for the purpose of facilitating the products and services purchased.
ATC only collects personal information that is required to provide the product or service being purchased and/or supplied.
ATC collects no personal information other than that required to sell and/or supply the products and services requested by the customer and that which is volunteered by the customer.
Sharing Information
ATC will not share personal information collected with third parties other than those required in the provision of the services and products purchased by the customer or as required by Canadian law. Third parties involved in the delivery of the services and products purchased by the customer will use that customers personal information, as supplied by ATC solely for the purposes of delivering the services or products purchased. ATC does not and will not rent or sell your personal information.
Storing Information
ATC stores all personal information supplied by the customer on a secure reservations database with controlled access.
Alteration or deletion of personal information. A customer may, at any stage request ATC alter, update or delete personal information at any stage by corresponding with ATC using contact information listed on contact us page.
